1. Overview

Outdoorplotpro provides personalised garden layout improvement and outdoor space planning services. Each order is arranged according to the customer’s requirements, the agreed scope of work and the quotation accepted before the service begins.

This policy explains how cancellation requests, deposit refunds and other payment adjustments are handled. It should be read together with our Terms and Conditions and Service Delivery Policy.

Nothing in this policy excludes or restricts any mandatory consumer rights available under applicable law.

2. Website Prices and Deposits

The prices displayed on our website represent deposits towards the selected services, not the full service fee unless expressly stated otherwise.

Before an order is confirmed, customers will be informed of the total agreed service fee, the deposit payable and the outstanding balance.

Any deposit received will be credited towards the agreed service fee. The remaining balance is payable according to the accepted quotation and the confirmed payment terms.

Payment of a deposit does not remove any applicable statutory cancellation or refund rights.

3. Cancellation Before Service Begins

Customers who wish to cancel an order should submit a written request to shift@outdoorplotpro.com, including their order reference and the reason for cancellation where relevant.

We will review the request according to the order status, the agreed terms and applicable consumer protection legislation.

Where a customer is entitled to a refund, the refundable amount will be calculated in accordance with the applicable law and the circumstances of the order. A deposit will not automatically be treated as non-refundable solely because it has been paid.

If the order has not been accepted or the agreed service cannot be provided, any payment received will be handled in accordance with applicable law and the relevant order arrangements.

4. Statutory Withdrawal Rights for European Consumers

For eligible consumers in the European Union, contracts concluded online or away from business premises generally carry a statutory withdrawal period of 14 days, subject to applicable legal conditions and exceptions.

For service contracts, the withdrawal period generally begins on the date the contract is concluded.

If a customer wishes the service to begin during the withdrawal period, any express request and acknowledgement required by law will be obtained before the service starts.

Where a customer withdraws after requesting an early start, payment for the portion of the service already performed may be due only where the applicable statutory conditions are satisfied.

The right to withdraw may be lost for certain services once they have been fully performed, but only where all relevant statutory conditions have been met, including any required prior express consent and acknowledgement.

Customers should contact us promptly if they wish to exercise a statutory withdrawal right. This policy does not shorten or remove any withdrawal period provided by applicable law.

5. Cancellation After Work Has Started

If a customer requests cancellation after the agreed work has begun, we will assess the request based on the work performed, the contract terms and applicable legislation.

Where the law permits payment for services already performed, any amount due will be assessed proportionately and in accordance with the applicable requirements.

Any remaining refundable amount will be calculated after taking account of amounts lawfully payable for the service already provided. No deduction will be made where it is not permitted by the applicable contract or law.

Customers will be informed of the relevant calculation where a refund or payment adjustment is required.

6. Cancellation After Service Completion

Once the agreed service has been completed, cancellation of the completed service may no longer be available as a remedy in the ordinary course of events.

However, customers retain any statutory rights relating to non-performance, services that do not conform to the agreed scope, or other circumstances for which a remedy is available under applicable law.

If you believe that the completed service differs materially from the accepted quotation, please contact us with your order reference and a description of the issue. We will review the matter and respond in accordance with the agreed service terms and applicable legal requirements.

7. Cancellations by Outdoorplotpro

If we need to cancel an accepted order and cannot agree on a suitable alternative arrangement with the customer, any refund due for services not provided will be handled in accordance with applicable law and the order terms.

Where a deposit or other payment has been received for a service that will not be supplied, the amount refundable will be determined according to the circumstances and any applicable statutory requirements.

We will communicate relevant changes and provide information about the next steps through the customer’s available contact details.

8. Rescheduling and Changes to Appointments

Customers who need to change an appointment should contact us as early as reasonably possible.

Where a revised date can be agreed, the order may proceed under the updated arrangements. If a change affects the service scope, total fee or expected completion date, the relevant details must be agreed before the additional work proceeds.

Any rescheduling charge must be disclosed in advance and applied in accordance with the accepted terms and applicable law.

If an appointment cannot proceed because access to the property is unavailable, we will discuss reasonable next steps with the customer. Any resulting charge or adjustment must be supported by the agreed terms and applicable legislation.

9. Refund Processing

Where a refund is due, we will initiate it within the period required by applicable law.

Refunds will generally be returned through the original payment method where practicable. Where another method is proposed, it will be used only where permitted by law and appropriately agreed with the customer.

The time required for the refunded amount to appear in the customer’s account may depend on the relevant payment institution and transaction arrangements.

Customers will be contacted if further information is reasonably required to process a refund.

10. How to Request a Refund

To request a cancellation or refund, please email shift@outdoorplotpro.com with the following information:

  • Your full name.
  • Your order reference, if available.
  • The date of purchase.
  • A brief description of your request.
  • Any relevant information about the service or payment.

We may request additional information where reasonably necessary to identify the order and assess the request.

We will review the information and respond within a reasonable period, subject to any statutory response deadlines that apply.

11. Complaints and Consumer Rights

If you are dissatisfied with the handling of a cancellation or refund request, please contact us using the details below and explain the matter in writing.

We will review the available order records and communicate the outcome in accordance with the applicable terms and legislation.

Consumers retain the right to contact the relevant consumer protection authority or pursue any other remedy available under applicable law.

For consumers in Mexico, applicable Mexican consumer protection legislation remains in force. For eligible consumers in European countries, the mandatory consumer protection provisions applicable to the transaction remain unaffected.
