Service Delivery Policy
1. Overview
Outdoorplotpro provides personalised garden layout improvement and outdoor space planning services for customers across Europe.
Our services are arranged according to each customer’s requirements, the characteristics of the garden area and the scope agreed before work begins. Service delivery involves an initial enquiry, assessment, quotation, deposit payment, performance of the agreed work and settlement of the remaining balance.
As our services are individually arranged, the delivery schedule and specific activities depend on the accepted quotation and the arrangements confirmed with the customer.
2. Service Delivery Process
Step 1: Submit an Enquiry
Customers begin by contacting us through www.outdoorplotpro.com or by email at shift@outdoorplotpro.com.
Please provide a brief description of your garden, the improvements requested, your service location and any relevant requirements. Photographs, measurements or other information may be requested where necessary to assess the proposed work.
Step 2: Assessment and Consultation
We review the information provided and communicate with the customer to clarify the intended scope, site conditions, access arrangements and service expectations.
Where an on-site visit is required and included in the proposed service, an appointment will be discussed and arranged with the customer.
The assessment helps establish which activities are appropriate for the requested service and whether any additional work needs to be quoted separately.
Step 3: Quotation and Confirmation
Following the assessment, we provide a quotation setting out the agreed service scope, total service fee, deposit amount, outstanding balance and relevant scheduling arrangements.
Customers should review the quotation carefully before accepting it. Work will proceed once the order has been accepted, the required deposit has been received and the necessary arrangements have been confirmed.
Any additional work not included in the original quotation requires separate discussion and agreement.
Step 4: Deposit Payment
The prices displayed on our website represent deposits towards the selected services, not the full service fee unless expressly stated otherwise.
The deposit is credited towards the total agreed price. The outstanding balance remains payable according to the accepted quotation and the payment terms confirmed for the order.
The deposit confirms the customer’s order in accordance with the agreed arrangements and allows the service to be scheduled.
Step 5: Service Scheduling and Delivery
Once the order has been confirmed, we arrange the service date or delivery schedule with the customer.
Depending on the agreed scope, the service may include garden area assessment, recommendations for planting zones, pathway and seating arrangements, outdoor space organisation or other specified improvement activities.
The work is carried out according to the accepted quotation. Physical alterations, materials, planting supplies, waste removal and additional visits are included only where expressly agreed.
The customer is expected to provide the agreed access to the property and any relevant information needed for the work to proceed.
Step 6: Completion and Final Payment
When the agreed work has been completed, we notify the customer and confirm the completion status in accordance with the agreed service scope.
The remaining balance is then payable in accordance with the accepted quotation and applicable payment terms.
If the customer identifies a material difference between the agreed scope and the work completed, they should contact us promptly with the order reference and relevant details so that the matter can be reviewed.
Any statutory rights relating to the performance of services remain unaffected.
3. Service Delivery Times
Delivery times are agreed individually and depend on the nature and extent of the requested work, the service location, appointment availability, site access and other relevant circumstances.
An estimated start date or completion period will be communicated during the quotation and confirmation process where it can reasonably be established.
Where weather conditions, unavailable access, material availability or other circumstances affect the agreed schedule, we will inform the customer and discuss appropriate revised arrangements.
Any revised schedule will be handled in accordance with the accepted terms and applicable law.
4. Service Area and Site Access
Services are arranged for locations confirmed during the quotation process. Availability depends on the requested location and the nature of the work.
Before the appointment, customers must ensure that the relevant garden area can be accessed at the agreed time and must disclose known restrictions that may affect the work.
Where permission from a property owner, landlord or property management body is required, the customer is responsible for obtaining it before the relevant activities begin.
If the site differs materially from the information provided during the assessment, the parties may need to review the scope, charges or schedule before proceeding.
5. Changes to the Agreed Service
Customers may request changes to the scope or schedule. Requests will be reviewed according to their effect on the work, resources and appointment arrangements.
Any change affecting the total price or completion schedule must be agreed before the additional work proceeds.
If a requested change cannot reasonably be accommodated, we will discuss the available options with the customer. Charges for additional work will not be imposed without the required agreement, except where permitted by applicable law.
6. Delays and Missed Appointments
Customers should notify us as early as reasonably possible if they cannot attend an appointment or provide access to the property.
Where a delay or missed appointment results from unavailable access, incomplete information or a customer-requested change, a new appointment may need to be arranged.
Any rescheduling charge must be disclosed in advance and applied in accordance with the agreed terms and applicable law.
Where a delay is attributable to circumstances on our side, we will communicate the revised arrangements and address any applicable remedies in accordance with the contract and relevant legislation.
7. Completion Records and Customer Enquiries
Where appropriate to the service, completion may be recorded through a written summary, agreed deliverables or confirmation of the activities performed.
Customers should raise any concern about incomplete work or a material difference from the agreed scope by emailing shift@outdoorplotpro.com and providing the order reference and a description of the issue.
We will review the information and respond within a reasonable period. This procedure does not restrict any mandatory rights available to the customer under applicable law.
8. Cancellations and Refunds
Cancellation requests must be submitted in writing to shift@outdoorplotpro.com.
The handling of deposits, refunds and any amounts due for work already performed depends on the order status, the accepted quotation, the circumstances of cancellation and applicable consumer protection legislation.
For eligible consumers in the European Union, statutory withdrawal rights may apply to online service contracts, generally including a 14-day withdrawal period subject to applicable rules and exceptions. Where a service is requested to begin during that period, any required express request and acknowledgement will be obtained.
For customers in Mexico and other European countries, applicable statutory cancellation, refund and service remedies will be respected.
A deposit will not be treated as automatically non-refundable in every circumstance. Any amount retained or refunded will be determined in accordance with the applicable legal requirements and the agreed terms.
Further details are available in our Cancellation and Refund Policy.
9. Customer Responsibilities
Customers are responsible for:
- Providing accurate information about the garden and the requested work.
- Reviewing and accepting the quotation before the service begins.
- Arranging property access and obtaining any necessary permissions.
- Informing us of relevant site restrictions and known conditions.
- Paying the agreed deposit and outstanding balance according to the accepted payment terms.
- Requesting any changes through the agreed communication channels.
Failure to meet these responsibilities may affect the schedule or scope of the service. Any resulting changes to charges or delivery arrangements remain subject to the applicable agreement and law.
